How to Compare Two Word Documents Online for Free (Find Every Change)
The other side sends back "the same contract" with a few small edits. A colleague saves a report as final_v3 and forgets to say what moved. Reading both versions line by line is slow, and the change that matters is usually the one you miss, such as 15 days that quietly became 30. This guide shows how to compare two DOCX files online, see every addition and deletion highlighted, and keep a report of the result.
When You Need to Compare Two Versions
- Contracts and quotes. Check that only the agreed clauses changed before you sign. Numbers, dates and durations are the easiest to alter unnoticed.
- Policies and procedures. Confirm what a new revision changes for staff, or what an auditor should look at.
- Reports and proposals. A colleague edited your file without Track Changes; find out what they touched.
- Translations and templates. Make sure a re-exported file still contains the same text as the approved one.
- Review and approval. Attach an HTML report to the file so the approver sees the differences, not just the new version.

How to Read the Result
Differences are marked with two colors, and an edited passage shows the old and the new wording together:
- USD 12,000 in three installments — red: text that exists only in the original.
- USD 14,500 in four installments — green: text that exists only in the revised file.
In our test the tool compared 34 passages and found 14 that differ: 8 edited, 6 added and none removed. Edited passages show both versions, with only the changed words marked, so a single changed number is easy to spot. Added passages have no matching text on the original side, which is why the left column says No matching passage.
| Change in our sample | Original | Revised |
|---|---|---|
| Total fee | USD 12,000, three installments | USD 14,500, four installments |
| Timeline | 90 days | 120 days |
| Confidentiality | two years | three years |
| Termination notice | 15 days | 30 days |
| Payment table | three milestones of 4,000 | amounts changed to 3,625, plus a Warranty release row |
| New content | — | a mobile-interface sentence and a Governing Law clause |
This is exactly the kind of review that is hard by eye: each change is one or two words in an otherwise identical page. Positions are reported too, for example Table 1, row 2, cell 3, so you can find the amount in the original file.
What Is Compared, and What Is Not
The tool compares text, not appearance. Knowing the boundary prevents false reassurance.
| Compared | Not compared |
|---|---|
| Non-empty paragraphs in the document body | Fonts, colors and page layout |
| Text inside table cells | Images and automatic numbering |
| Reading order of the content | Headers, footers and text boxes |
| Inserted text from tracked changes | Footnotes, endnotes and comments |
Blank paragraphs are skipped, and text that was moved can show up as one removal plus one addition. If your files already contain tracked changes, inserted text counts and deleted text is left out, so you compare the version as if every change were accepted.
Two Options That Reduce Noise
- Ignore whitespace differences. Extra spaces, tabs and line breaks stop counting as changes. Useful when a file was re-exported or pasted from email.
- Ignore uppercase / lowercase. A heading that changed from "Payment Terms" to "PAYMENT TERMS" is treated as a match. Leave it off for legal text where capitals can matter.
The "Text match" figure shows how much of the text matches under the options you chose. It is not a formatting or visual similarity score, so two files with identical words but different fonts can still show a perfect match.
Tips for Reliable Comparisons
- Compare the right pair. Name the files clearly (contract_original, contract_v2) so the slots are never swapped.
- Check the limits. Up to 20 MB per file, 200,000 extracted characters and 2,000 non-empty paragraphs or table cells. For a very long document, compare it in parts, for example with Split Word.
- Convert first when needed. Only DOCX works. Turn a PDF into Word with PDF to Word, and save old .doc files as DOCX.
- Review formatting separately. Open both files and scan layout, images and headers yourself; the report covers wording.
- Keep the report with the file. Open the HTML in a browser and use its Print / Save as PDF button when you need a copy for approval or audit.
- Mind confidentiality. Both files are uploaded for processing and deleted when the request finishes. Before uploading, you can remove hidden author and company info.
